Version Control

Track every version of every course you ever sent to an inductee!

Because Rapid Induct Premium gives you the flexibility to update and edit your induction courses at anytime, many of our clients have requested a way to keep track of multiple versions of the same course, as well as who it was delivered to. So we've created Version Control, so you'll always know what version of any induction course you've delivered to each inductee. It's a very handy tool.

Contractor Management System

The Contractor Management System is a proven and reliable way to manage the pre-qualification of contractor companies through to online induction of individual contractors. The system has been in place since March 2007 and has processed over 11,658 contractors.

When you engage with contractor companies, you are exposed to risk. Determining the level of exposure is critical to minimising that risk. Statistically, only 9% of contractor companies that enter company sites are compliant. This leaves 91% of contractors companies as non-compliant; therefore this is a very high level of level of exposure.

Mirvac: Contractor Management System
– an end-to-end solution

In its first year of using Rapid Induct's Contractor Management System, Mirvac discovered that 91% of its contractor companies were non-compliant. Since implementation, 18 months ago, Mirvac contractor companies not only pay to use Rapid Induct's system, they take more care when conducting the courses and Mirvac phone calls requesting induction help have decrease by 90%.

Mirvac is a leading integrated real estate group. Ken Hawkins, HS&E Manager at Mirvac, has worked together in a partnership with the staff at Rapid Induct to develop the successful Contractor Management System that has been in place at Mirvac since July 2008 and used by several other Rapid Induct clients.

"Prior to using Rapid Induct, Mirvac's induction process consisted of contractors having to watch a DVD at a PC once they arrived on site that took approximately 20 mins. They would then need to sign a declaration that they understood the content of the DVD. Their information would need to be put onto a register and a contractor pass would be issued to them, to be kept on them at all times", says Ken. "This process was very time consuming and was ineffective, as it took time away from our employees. They would need to ensure that the contractors would watch the video and then issue them with a pass. If we did 10-15 contractor inductions in a day for example, this took time away from other more productive things that they could be doing".

"When we implemented Rapid Induct at Mirvac in March 2008, we originally began with a standard general and site specific inductions only. Although it was a great shift from our old process, over time it was identified that for our large contractor workforce there needed to be an even better way of managing the induction process. We also paid for all the inductions that contractors completed and there were many instances whereby inductions were assigned and not completed, therefore this was a cost to us. We thank Frank, Managing Director – Rapid Induct and his staff for identifying that there was a much more cost effective and efficient way to help us manage the large volume of inductions. Frank mapped out an end to end process to be called Contractor Management System and we haven't looked back since!"

"This Contractor Management System allows us to pre-qualify our contractors before they complete the necessary general and site inductions. All they need to do is upload their mandatory paperwork online, such as safe work statements, insurances and licences. If the contactor is non-compliant, which is a regular occurrence, our Tenant Liaison Centre then speaks with the contractors to advise them of what is necessary to become compliant in order to then proceed with completing the mandatory inductions. Compliance issues around HSE are now controlled as this allows management to have a peace of mind that contractors who are on site are compliant. The onus is also on the contractor to provide the information. We also found that in our first year, 91% of contractor companies were deemed non- compliant", says Ken.

"There were many benefits in implementing the Contractor Management System for us. Some of them include; Firstly, the system paid for itself in four months; we found that contractor companies now take greater care as they have to pay for the inductions themselves; two full time staff are now available to focus on other tasks; phone calls have decreased 90% - 95%; and there are no time delays in regards to working on site and completing inductions", says Ken.

"We continue to work very closely with the staff at Rapid Induct. All staff are extremely professional, courteous and the service is great. Staff are always responsive, proactive and always suggest better ways of improving the system. We have also worked together on systems enhancements that have benefited both parties", says Ken.

Gunns Timber Products:
Reducing costs in travel time

Gunns Limited is Australia's largest integrated hardwood and softwood forest products company. Bev Smith, OHS Manager at Gunns Timber Products, has been the main administrator of Rapid Induct since it was implemented in October 2008. "The induction process is much easier now", says Bev. "Contractors are now inducted online but are still required to complete site specific inductions. The benefits since we changed from face to face inductions has been consistency in provision of information; release of staff to undertake other tasks; elimination of inductions being provided off site and cost and time savings of general administration time" says Bev.

Prior to using Rapid Induct, the induction process took considerable time at Gunns Timber Products. Induction presenters would regularly need to travel to companies to induct contractors at their site due to the large number of contractors required to undertake work on sites. Contractors were required to view a DVD detailing safety requirements for the Company, followed by provision of requirements in relation to health and safety and expected Company standards to work on site. There was a cost of travel time, staff resources, administration time such as organisation of room bookings and scheduling of contractors to attend.

"Since the shift to using Rapid Induct, we have had positive feedback from contractors who are pleased they can complete the induction at their own pace and in their own time. There may be occasional cases where contractors don't have access to a computer however these contractors are catered for within the Company prior to commencing allocated work. Overall it has been a positive shift for our organisation", says Bev.
